The short answer
Three questions decide this comparison, and none of them is your size.
- Do you claim state funding today — especially apprenticeship progression payments? aXcelerate has years of claims machinery. RTO Grow's funded-claims engine is on the roadmap, not live. If claims are material to your revenue, this decides it.
- Are you CRICOS? International student requirements are specialised and RTO Grow does not pretend to cover them.
- Is your existing content library SCORM 2004? RTO Grow supports SCORM 1.2, import and export, with completion and score tracking. 2004 packages are a hard blocker.
If any of those is a yes, buy aXcelerate and do not look back. If none of them is, the comparison inverts: RTO Grow covers more of the RTO's actual job in one system — enquiry, application, USI, enrolment, payment, delivery, assessment evidence, outcomes, certificates, AVETMISS and the audit trail underneath all of it — with every price published. And it is the depth of the compliance record, not the age of the vendor, that should carry the decision, because only one of those is testable in a demo.
Where aXcelerate is the better choice
- You claim state funding, especially apprenticeship progression payments. This is the clearest line between the two. aXcelerate has years of state-contract and claims capability. RTO Grow has funded claims on the roadmap, not live. If claims are material to your revenue, this decision is already made and nothing else on this page should change it.
- You are CRICOS, or heading there. International student requirements are specialised and we do not pretend to cover them.
- You have SCORM 2004 packages. RTO Grow supports SCORM 1.2 with completion and score tracking. SCORM 2004 is not supported. If your library is 2004, that is a hard blocker.
- You need a specific connector or consultant pool that already exists for aXcelerate. A twenty-year platform accumulates integrations and people who know it. That has real value and takes years to build.
- Your board or funding body requires a vendor with decades of operating history. That is a criterion aXcelerate wins on the calendar, and no feature list changes it. What we would push back on is letting vendor age stand in for the audit questions below — a long operating history and a deep evidence trail are different things, and only one of them is testable before you sign.
Where RTO Grow is the better choice
- Your evidence has to survive an audit unassisted. Assessment attempts are an append-only ledger — resubmissions and re-marks add records, never overwrite them. The student's answers are snapshotted at submission against the exact version of the assessment they sat. The assessor's declaration freezes their credentials — TAE, industry currency, WWCC — as at the moment of marking, and a lapsed credential is enforced at the marking event, not discovered in a spreadsheet afterwards.
- Your reporting has to trace to practice. Every NAT file for AVETMISS release 8.0 is generated from the live records trainers actually worked in, validated before lodgement with each problem named in plain English and its severity marked, and every export is recorded with a file hash and its validation results. USI verification is automatic against the Australian Government registry, with method, time and operator recorded, and exemption handling — including offshore delivery — is built in rather than hand-noted.
- Your assessments have to map to the training product. Every question maps to the performance criteria, knowledge evidence and performance evidence it addresses. Coverage is computed across every live assessment on the unit, a knowledge evidence point with no question against it is named before publishing, and automated pre-use checks read each pack against the 2025 Standards' assessment rules.
- You want to know the price before you talk to anyone. Our full rate card is published: A$99/month for 20 active students, A$499 for 200, A$999 for 1,000, and a high-volume band from A$2,500 to A$8,800/month for 10,000. aXcelerate quotes. Neither approach is wrong, but one lets you size the decision in five minutes.
- You run multiple RTO entities. A group's student allowance pools across every RTO account it operates, on one agreement, rather than paying per entity.
- You author content once and reuse it. Content is authored per unit of competency against live training.gov.au data and inherited by every course that includes that unit. Update the guide once; every course carrying that unit picks it up. No copies to keep in sync.
- You are a consultant or advisor working across RTOs. Advisor accounts are free. Ask every other vendor what a non-RTO account costs.
- Storage volume worries you. We do not charge for storage at any volume, or for holding records through the retention periods the Standards require.

Where the table says "confirm with vendor", that is deliberate. We are not going to characterise a competitor's commercial terms or internals from the outside and present it as fact — ask them directly and get it in writing.
The cost comparison you should actually run
Do not compare monthly headline prices. Build a three-year total for each: licence, implementation, data migration, training, per-user or per-enrolment charges, storage, support tier, and the cost of exporting your data if you leave. Then re-run it at the student numbers you expect in year three, not the ones you have now.
Two things break naive comparisons. First, pricing unit matters more than pricing level — per-enrolment and per-active-student diverge sharply when one person enrols in several courses. Second, an entry price that suits 20 students tells you nothing about the price at 400; ask both vendors for the ladder, not the entry point. RTO Grow's ladder is on the website; there is nothing to ask for.
Common questions
Is aXcelerate or RTO Grow better for a small RTO?
For an RTO of any size without funded contracts, RTO Grow is usually the closer fit on cost predictability, setup weight and how much of the job one system covers — and you can confirm that in minutes because the pricing is published. The ladder runs to 10,000 active students, so it is not a starter system you graduate out of. If you have state funding contracts or apprenticeship claims, aXcelerate is the safer answer regardless of your size.
Can I move from aXcelerate to RTO Grow?
Migration is possible and we do it — the importer maps your current system's export columns onto RTO Grow's records, reports failures per row, and has a one-click undo. Still, treat any vendor's migration story sceptically, including ours. The questions that matter: what format can your current provider export in, does it include assessment evidence and outcome history rather than just student and enrolment records, and who is doing the mapping. Get the export sample before you commit to anything.
Does RTO Grow do everything aXcelerate does?
No. Funded contract claims, apprenticeship progression claims and CRICOS are the main gaps, and SCORM 2004 is unsupported. We would rather you find that out here than three weeks into an implementation.
Which one handles AVETMISS better?
Both vendors will say yes, so make it testable. Ask each to generate a NAT00120 from live records in front of you and show which field came from where. Ask what validates the file before lodgement, and what record is kept of each export. RTO Grow's answers: the file comes from the same records trainers worked in, the built-in validator names each problem in plain English with its severity before you lodge, and every export is recorded with a file hash and its validation results. If a vendor's export is assembled from a data-entry process running parallel to what trainers actually did, the file and the practice will drift — and at audit, one of them is wrong.
