aXcelerate alternatives for Australian RTOs (2026)

Sorted by your reason for looking, not by vendor. Including the four situations where leaving aXcelerate is a bad trade.

First: the reasons not to move

aXcelerate is the longest-established broad platform in Australian VET and has been operating at scale for a long time. Before you shortlist alternatives, be honest about whether any of these apply to you, because each one makes leaving a bad trade:

  • You claim state funding, especially apprenticeship progression payments. Claims capability is built over years against contracts that differ by state and change. Almost every newer platform, ours included, has this on a roadmap rather than in production. If claims are material to your revenue, stop here.
  • You are CRICOS. International student requirements are specialised and thinly covered outside a handful of platforms.
  • Your integrations are load-bearing. A mature platform accumulates connectors and consultants. Rebuilding that costs more than most migration quotes admit.
  • Nobody internally is available to run a migration. The software is rarely the hard part. The data mapping and the parallel-running period are, and they need someone's attention for months.

If none of those apply, the switching cost is much lower than it feels, and the rest of this page is for you.

Why RTOs actually look for an alternative

In our experience the trigger is almost never a missing feature. It is one of four things: the price at renewal, the amount of configuration required to do simple things, the learner experience, or the fact that the true cost is hard to establish before a sales process. Which of those is your reason determines which alternative fits — so pick your reason first.

The alternatives, by the reason you are looking

If your reason is cost, or not being able to find out the cost

Look at: RTO Grow, RTObase, PowerPro NEO, SELMA SIS.

What these have in common is published pricing, which lets you eliminate options before booking a call. RTO Grow publishes the full ladder — A$99/month for 20 active students through to A$8,800/month for 10,000 — with a group's allowance pooled across every RTO account it operates, on one agreement, and no charge for storage at any volume. RTObase and PowerPro NEO publish pricing and sit at the lighter end. SELMA publishes an entry price and combines SMS and LMS.

The number that matters is not the entry price, it is the price at your year-three headcount, and whether the unit is per active student, per enrolment or per user. Those diverge sharply once one person enrols in several courses.

If your reason is configuration weight and admin overhead

Look at: RTO Grow, eSkilled, SELMA SIS.

Newer platforms make more decisions for you. That is a genuine trade — less flexibility, less to configure, less to get wrong. Whether it is the right trade depends on how unusual your delivery model actually is. Most RTOs believe they are more unusual than they are; some genuinely are.

If your reason is reporting you cannot trace

Look at: RTO Grow.

If NAT files at lodgement time are a scramble — errors discovered at AVS, fields nobody can trace to a source record, a data-entry layer running parallel to what trainers actually did — the fix is structural, not procedural. RTO Grow generates every NAT file for AVETMISS release 8.0 from the live student record, validates it before lodgement with each problem named in plain English and its severity marked, and records every export with a file hash and its validation results. USI verification is automatic against the government registry, with exemption handling including offshore delivery. If your reason is assessment, especially in the field

If observation, workplace evidence and assessor sign-off are where you are struggling, decide the architecture question first. Have an actual student look at the student view, on a phone, in a demo. Students are mostly not on desktops, and the learner side of VET platforms is where age shows first.

If your reason is that you need international student management

Look at: Wisenet, PowerPro.

CRICOS is the requirement that most narrows the field. Confirm it early rather than late.

If your reason is that nothing off the shelf fits

Look at: Moodle plus a capable SMS, or an API-led build.

Real flexibility, real responsibility. You own the integration, hosting, upgrades and a two-system audit story. Excellent with the right capability in house; painful without it.

"Publishes pricing" is a fact we can verify from a vendor's own website, which is why it is in the table. We have deliberately not filled in feature-by-feature judgements about competitors from the outside — ask them, and get it in writing.

What RTO Grow does not do

So you can rule us out quickly if we are wrong for you:

  1. Funded contract claims, including apprenticeship progression claims, are on the roadmap and not live. This is the single biggest gap versus aXcelerate.
  2. No CRICOS support.
  3. SCORM 1.2 only — completion and score tracking included, SCORM 2004 packages are not supported.
  4. Every plan carries an active-student allowance, so model your real headcount against the published ladder.

Migration checklist, whichever way you go

  1. Get an export sample from your current provider before you sign with anyone. Not a promise of one — the actual file. Confirm it includes assessment evidence and outcome history, not just students and enrolments.
  2. Establish who does the mapping and what it costs. This is where migration quotes go wrong. RTO Grow's importer maps your current system's export columns onto its records, reports failures per row, and has a one-click undo.
  3. Decide your cut-over point. Most RTOs finish existing cohorts on the old system and start new intakes on the new one. Migrating mid-cohort is possible and rarely worth it.
  4. Keep the old system readable for the retention period, or make sure the export is genuinely complete. Records obligations do not end when the contract does.
  5. Run one real unit end to end in the new system before committing — enrol a test student, deliver, assess, mark, issue, and generate the NAT file. If any step surprises you, better now.
  6. Ask the new vendor which of your requirements is roadmap rather than live. Then get the answer in writing.

Common questions

What is the best aXcelerate alternative for a small RTO?

For a small RTO without funded contracts, the shortlist is usually RTO Grow, RTObase and SELMA — all publish pricing, so you can compare before a sales process. The same shortlist logic holds for a mid-sized or growing RTO: RTO Grow's published ladder runs to 10,000 active students, so choosing it is not a decision you outgrow. Add eSkilled if you want a heavier learning-delivery layer or want to buy resources with the platform.

Is there a free alternative to aXcelerate?

Not a like-for-like one. Moodle is free as an LMS licence but is not a student management system, so it cannot run an RTO on its own, and the cost moves into hosting, integration and the capability to maintain it. Treat "free" as a description of the licence, not the total cost.

How hard is it to migrate off aXcelerate?

The technical export is usually the easy part. The hard parts are mapping your data to a different model, deciding what happens to in-progress cohorts, and having someone available to run it. Budget months rather than weeks, and start by asking your current provider exactly what a full export contains.

Should I replace my whole system or just part of it?

Worth asking properly before you shortlist. If your only real pain is assessment, adding a specialist alongside your SMS is far less disruptive than replacing everything. If the pain is cost, admin overhead, the learner experience or reporting you cannot trace, a partial fix usually leaves the problem in place.
