These terms govern your access to and use of the RTO Grow platform, hosted at rtogrow.com.au and operated by Everyshot Pty Ltd (ABN 51 246 891 780). By creating an account or using the platform you agree to these terms. If you are signing up on behalf of an organisation, you confirm you have authority to bind that organisation.

The service

RTO Grow is a Software-as-a-Service Student Management System and Learning Management System designed for Australian Registered Training Organisations. We provide it on a subscription basis. Specific features available depend on your plan.

Your account

You are responsible for the security of your account credentials and for all activity carried out under your account. Notify us immediately at hello@rtogrow.com.au if you suspect unauthorised access. We are not liable for losses arising from credentials you have not kept secure.

Acceptable use

You agree not to:

Attempt to circumvent security controls or access tenant data belonging to other RTOs
Upload content that is unlawful, infringing, malicious, or that violates a third party's rights
Use the platform to send unsolicited bulk communications
Resell, sublicense, or white-label the platform without our prior written consent
Reverse engineer the platform or copy its underlying code

Fees and billing

Plans and pricing are published at /pricing. Fees are billed in advance, in Australian dollars, plus GST. Trial periods (where offered) convert automatically to a paid plan unless cancelled before the trial ends. Cancellations take effect at the end of the current billing period; we do not pro-rate refunds for partial months.

Your data

You retain ownership of all data you upload — your RTO's records, your students' records, your assessment evidence, your reports. We process it on your behalf in line with our Privacy Policy. On cancellation, you can export your data at any time within 30 days; after that, data is deleted from active systems within a further 60 days, subject to backups that age out within 90 days.

RTO compliance responsibilities

RTO Grow provides software tools to support your day-to-day operations and reporting. Compliance with the Standards for Registered Training Organisations 2015, the 2025 Outcome Standards for RTOs, the National Code, AVETMISS reporting obligations, and any other regulatory requirements remains your RTO's responsibility. We make no representation that using the platform will, of itself, achieve or maintain registration, audit clearance, or any compliance outcome.

Service availability

We aim for high availability and run the platform on reliable infrastructure (Supabase, Vercel). We do not guarantee uninterrupted service. Scheduled maintenance is announced in advance where practical. We are not liable for downtime caused by upstream providers, force majeure, or events outside our reasonable control.

Liability

To the maximum extent permitted by Australian law, our total aggregate liability arising out of or in connection with your use of the platform is limited to the fees you have paid us in the 12 months preceding the event giving rise to the claim. Nothing in these terms excludes liability that cannot be excluded under the Australian Consumer Law.

Termination

You may cancel at any time from your billing settings. We may suspend or terminate accounts that breach these terms, fail to pay fees, or place the platform at material risk. Where practical, we give notice and an opportunity to remedy.

Changes to terms

We may update these terms. Material changes are emailed to RTO administrators at least 30 days before they take effect. Continued use of the platform after the effective date is taken as acceptance.

Governing law

These terms are governed by the laws of Western Australia, Australia. The courts of Western Australia have non-exclusive jurisdiction over any dispute.
