One system or a stack? Why disconnected tools cost you

A guide for RTO owners and managers choosing software.

Every join between two tools is a place where someone re-keys something, and every re-key is a chance for your NCVER report, a certificate or a student's result to go wrong. Run one record for the whole student journey. Keep specialist tools, like your accounting software, where the join is a monthly export rather than a task for every student.

Count your joins

Grab a pen and count the places your data moves from one tool to another:

  • Enquiry form to CRM
  • CRM to student management system
  • Student management system to LMS
  • LMS results back into the student management system
  • Results into a certificate template
  • Student records into your NCVER report
  • Payments into your accounting software

Each join is a person, a spreadsheet or an integration that can break.

The expensive joins

The costly joins are the ones you do for every student: re-keying results from the LMS, typing certificates from a results list, exporting email lists for reminders. Multiply each one by every student, every month.

The cheap joins happen once in a while, like a monthly export to your accountant. Those are fine.

What goes wrong when tools disagree

When the LMS and the student management system hold different completion dates, a result can land in the wrong NCVER reporting year. When a certificate is typed outside the student's record, there's no trail linking it back to the results that earned it. These are exactly the gaps an auditor finds.

The trainer test

If your trainers mark on one screen and your office records results on another, you're running a stack, even if it's sold to you as one product.

When a separate tool is the right call

Accounting belongs in your accounting software. Invoices, purchase orders and your real balance live there, and your RTO system should record what was paid and export it. A specialist content tool is fine too, as long as it exports SCORM so your learning content isn't locked in.

Questions to ask any vendor

  1. What writes the unit result?
  2. How many places does a student's email address live?
  3. When a trainer marks, what else updates without a person touching it?
  4. What gets exported, how often, and by whom?

How RTO Grow does it

RTO Grow is one record from the enquiry form to the NCVER report. The built-in CRM, LMS, student management and compliance tracking share it. The trainer's mark writes the result, the result completes the enrolment, the enrolment issues the certificate, and the same record builds your NCVER report. Payments are recorded in a ledger with your invoice reference, ready for your accountant. See integrations.

Frequently asked questions

Should an RTO use one system or several?

One record for the whole student journey, from enquiry to NCVER report, with specialist tools like accounting joined by a periodic export.

What does double handling cost an RTO?

Time on every student, and errors that surface in NCVER reports, certificates and audits.

Is it fine to keep our accounting software?

Yes. Accounting should stay in your accounting software. Your RTO system records payments and exports them.

Can we keep our existing learning content?

Yes, if it's in SCORM. RTO Grow imports and exports SCORM 1.2.
