The evidence an auditor actually asks for

Version-pinned assessment tools

Every published version is stored as an immutable snapshot with an approval record. Each attempt is pinned to the version in force when the student sat it.

Signed assessor declarations

Every marking decision is captured append-only with the assessor's identity, timestamp, outcome and a signed declaration — enforced by the database, not by policy.

Seven-year evidence retention

It's built to capture the data RTOs need under the 2025 Standards for RTOs. How you meet the Standards remains your RTO's responsibility; the platform makes sure the data is there to support it.
Yes. Because everything sits against the enrolment, you can follow one student's full history from enrolment through delivery, assessment and outcome.
It keeps previous versions of published material and records what was delivered, so you can show the version history when you need to.
Yes. NAT files are generated from the same data and validated against NCVER rules before submission.
Superseded units are flagged on the enrolment, and units that have been deleted or have expired are blocked from new enrolment outright. Outcomes already recorded stay exactly as they were, so your historical reporting does not shift. Managing the teach-out itself stays with your team — RTO Grow will not silently migrate a student to a replacement unit, because that is your RTO's compliance decision to make.
Version pinning, rather than a policy reminder. Students are served the currently published version, and marking refuses attempts belonging to a superseded version — so a trainer cannot land a judgement on a stale tool.
Seven years, then automatically archived — not deleted — on a schedule aligned with the Privacy Act 1988 (Cth) and VET record-keeping expectations. Archiving runs daily. Evidence approaching expiry surfaces 90 days ahead, so gaps appear while you can still act on them.
We will be straight about this: RTO Grow does not hand your auditor a login. Auditor access happens the way it does in practice — you produce the evidence. What you get is one-click bundles ready to hand over: a cohort audit bundle, a per-student dossier, a per-trainer audit file, an ASQA delivery report and a full-RTO export, with the evidence cabinet mapped to the ASQA categories so you see what is missing before the auditor does.
