RTO Grow keeps every trainer's file in one place: TAE, vocational competency, industry currency, Working with Children Check, first aid, police check, the units they can deliver and assess, and their professional development. The Trainer and Assessor Matrix flags anything expiring, every assessor's credentials are checked when they mark, and trainers get their own portal for classes, marking and students.
No more credential spreadsheets
Trainer credentials scattered across spreadsheets and email folders are an audit risk waiting to happen. One lapsed first aid certificate or an unrecorded unit authorisation can unravel a whole class's results. In RTO Grow, every trainer's credentials live on their file, and the matrix shows you who's current at a glance.
Add a trainer in a minute
Add a trainer with their name, contact details, credential tier and employment type, then their TAE, Working with Children Check, first aid and police check details. Credential tiers cover full trainer and assessor, assessor only, under direction, under supervision and industry expert.
Everything on one file
Each trainer's file holds:
- Credentials: TAE, vocational competency and industry currency
- Compliance expiries: first aid, Working with Children Check and police check
- What they hold: qualifications, skill sets, units, licences and tickets, with how each was checked, from a USI transcript to sighting the original
- Unit authorisations: which units they can deliver and assess, why, and the certificate behind it
- Professional development: every PD activity with hours, category and the units it relates to
- Validation records: the validation sessions they've sat on
- Their work: marking load, upcoming sessions and activity
The Trainer and Assessor Matrix
The matrix shows every trainer's tier, TAE, industry currency, units authorised, Working with Children Check, first aid and police check in one table. Anything expiring in the next 90 days is listed at the top. Dates turn amber inside 90 days and red inside 30, so you see what needs renewing before it lapses. Choose which columns your team sees, and third-party trainers get their own band.
Expiry reminders sent for you
Trainers get an email 30 days before their first aid or Working with Children Check expires. If one lapses, your office gets an email the next day.
Credentials checked at marking
Every time an assessor marks, RTO Grow checks their credentials: that they're authorised for the unit, hold their TAE, have current industry currency, and that their Working with Children Check and first aid are in date. If something's wrong, they see it before they sign. Owners and admins can record a result on an assessor's behalf, with the right declaration. See assessment and marking.
Professional development, logged as it happens
Log PD with the title, provider, category, date, hours and the units it relates to, and attach the certificate. Trainers add their own PD from their portal, and every trainer's total hours show on their file.

- My Students: contact details, USI status, profile, messages and feedback
