Record results without online assessments

You don't need sessions, online assessments or any learning content to track learners, record competency, issue certificates and report AVETMISS. If you deliver your training in person and just need the records side, this is the whole workflow.

1. Set up the course

Where: Courses → "New course"

  1. Pick the door that matches (a qualification, a skill set, a unit or unit bundle…).
  2. If you're asked "How will you run it?", choose "In person — records & certificates". That sets everything up for you — an open "Face to face" offering, certificates held for your OK — and there's nothing else to configure.
  3. Paste the code from training.gov.au and click "Yes, import all units".

2. Enrol your students

Where: your course's page → "Enrol students" (step 1). The records setup lands you on the course, so you can set up your offerings now and enrol students whenever you're ready.

"Enrol students" asks how do you want to add your students?

  • One student — fill in everything now. Type in their details from their paper enrolment form (address, date of birth and the AVETMISS questions), tick that the details came from their signed paper form, and attach a scan of it.
  • A group — email them their enrolment form. Paste names and emails; each student fills in their own details.
  • A group — I'll fill in their details later. Paste names and emails; nothing is emailed. They sit on Incomplete profiles until their details are in, and they can't be reported until then.
  • Upload a spreadsheet — for a whole list at once.

Already started — or already finished — on paper? Put their real Started on date (and, if they're still training, Expected to finish) in the Training dates box. That's the start date reported to NCVER, not the day you typed them in.

  • Moving across from another system? Settings → "Import / Migrate Data" brings students, enrolments and past results across from a spreadsheet.

The moment someone is enrolled, a result record exists for every unit — nothing else to create.

3. Record competency

Where: Assessments → "Marking queue"

After your results meeting (however you sign off — a board of examiners, a trainer's signed papers):

  1. Set the status filter to "Not started".
  2. Filter to the unit you're recording.
  3. Tick the students and click "Mark selected".
  4. Choose the outcome, how they were assessed, and — if you have one — attach the class record: one scanned file (PDF or photo) is filed against every selected student's record.
  5. Entering results from paper after the day? Set Date assessed to the date on the paperwork. That's the date reported to NCVER, and it becomes the student's completion date if it finishes their course. RTO Grow still records today as the day you entered it.
  6. Type your name to sign. One signed assessor declaration covers the whole batch, and it's recorded on every student — a stronger audit trail than typing results into a spreadsheet or a reporting system.

Repeat per unit — each batch takes a few seconds. If you're an admin entering results on the assessor's behalf, the dialog asks for a one-line reason and records it on every declaration.

You can also record RPL or credit transfer per student from their enrolment page, and attach extra evidence to any individual unit at any time.

4. Issue certificates

Where: Compliance → "Documents waiting"

When every unit is recorded, the student appears in Documents waiting. Review and issue with one click — the USI check runs automatically. (Courses set up records-first hold certificates for your OK rather than issuing automatically.)

5. Report AVETMISS

Where: Compliance → "AVETMISS submission"

Everything you recorded above builds the NAT files directly — nothing is re-entered. If anything required for reporting is missing, the export names it in plain English when you generate; nothing blocks you earlier than that.

Adding more later

A records-first course is a full course underneath. Whenever you're ready, open the course and click "View full settings" to add learner guides and e-learning, online enrolment and payments, or a second offering (blended or online) with its own price — your face-to-face offering and its students carry on untouched.
